Every tool your rental fleet needs.
In one platform.
Replace seven tools with one. $20 per car, per month.
Bookings & Reservations
Confirm, pay, contract, hand off, extend, return - in whatever order the deal actually happens.
Confirm, Payment, Check-Out, Start, Extend, and Return are each their own action, run in the order your business works. The booking's status stays honest no matter the path.
Renter self-serve requests from your widget and links, operator-created bookings from Add Booking, and Log Booking for rentals that happened off-platform - one lifecycle for all three.
Every row shows only the actions valid for its state: a Pending request offers Confirm or Deny, a Ready booking offers Start, a fully paid booking drops the Payment button.
Check-in auto-differences mileage and fuel against check-out and prices the overages automatically; damage, overdue hours, and other fees get entered with a reason. Everything tallies against the deposit - documented, not argued.
The original booking locks; you add days. The amount auto-prices from the vehicle's rate, payment collects for just the extension, and the contract amends in-line for a re-sign.
Every completed rental sends the customer a before/after record: check-out vs check-in condition, photos, the fee breakdown, and the deposit reconciliation, appended to the contract.
Check-out logs mileage, fuel level, pre-existing damage, and photos. Return runs a start-to-finish difference table with inspection photos - the paper trail is built before anyone argues.
Renters get templated "Ready for pick-up" and "Return reminder" notifications by email and SMS - one click, no typing. New booking requests hit you three ways: in-app, text, and email.
Calendar & Availability
Your whole fleet on one timeline, and renter-facing availability that polices itself.
Vehicles as rows, days as columns, bookings as color-coded bars in Today, Week, Month, and Year views. Click a bar to extend or return without leaving the calendar.
Confirmed bookings block dates on the renter calendar automatically. Pending requests reserve nothing, so you resolve any overlaps at confirm time - nothing is committed until you say so.
Connect once and bookings appear in the calendar you already check every morning, with the vehicle, renter, pickup and return times, and status on every event.
Logged external bookings render on the same timeline and in the synced feed, so the schedule you look at is the whole schedule.
Subscribe Apple Calendar or Outlook directly to your fleet's live iCal feed. Calendar apps refresh external subscriptions on their own schedule - Google, for instance, every 12-24 hours.
Payments & Deposits
Your Stripe, your PayPal, your bank account - zero Autoflow take rate.
Connect Stripe or PayPal via OAuth. You are the merchant of record: renters pay directly into your account, and Autoflow adds no transaction fee.
One charge, two questions: what you're charging for (Deposit, Rental Payment, or Full Payment) and how you're collecting it (Payment Link, Credit Card Hold, or a logged External Payment).
A hold is an authorization, not a charge - and the renter places it themselves on a hosted page carrying your name and logo. No operator ever keys in a card, which makes holds dramatically harder to dispute. Card holds run on Stripe.
Release a clean return in full and pay zero processing fees on money you give back. Capture only the deductions. If damage exceeds the deposit, a payment request covers the overage.
Holds live up to the processor's window - usually 7 days. Autoflow warns you before expiry, and renewing sends the renter a fresh authorization in one action - the deposit stays secured without anyone touching a card number.
Set a tax rate per vehicle and every booking calculates, collects, and itemizes it on the invoice. Override it per booking - with the change reason logged for your accountant.
Every payment, refund, and deposit movement lands on the booking and in Payments Received, with a PDF receipt on every row and cash guard-rails at every cash money-moment.
Renter Verification
Three enterprise-grade checks from one credit pool - and you make the final call.
Government ID plus selfie match, completed by the renter via a link in about a minute. Autoflow stores the outcome, not the ID images. 1 credit.
Criminal history plus SSN trace, run operator-side - clean records come back in seconds. US coverage. 2 credits.
Carrier-verified policy data via renter consent: active status, coverage limits, expiration - covering 95%+ of US carriers. 5 credits.
Define your minimums - bodily injury, property damage, deductible - and every insurance result renders pass, caution, or fail against your rules, not a generic bar.
All three checks draw from a single balance. Plans from $49/mo for 30 credits up to $549 for 500; top-up packs never expire. Credits only burn on completed checks - unfinished verifications never charge you.
Results live on the renter, not the booking. Returning customers show their verified status on every future booking without costing another credit.
Every extra driver carries their own details, documents, checks, and signature link - and becomes a customer record with reusable verification history. The booking holds until every driver clears and signs.
Contracts & E-Sign
Build your agreement once, sign it once - every booking's contract writes itself after that.
Set up your rental agreement in Settings, draw your signature exactly once, and every booking generates its contract pre-signed by you from that template.
Customer, vehicle with VIN and plate, the check-out condition log and photos, the renter's license and insurance documents, live payment status, and booking details fill in from the record. The wrong-VIN, wrong-name contract error is gone.
Send by email, text, or a shareable link. The renter reviews, checks a legally-binding e-sign consent box, and signs with name, initials, and a drawn signature.
Each signed contract comes with a downloadable certificate capturing signer metadata like IP and timestamps - the same evidence pattern e-sign providers use.
An extended rental shows Original plus Extension details on one contract, and the renter re-signs. Signed history stays locked.
The agreement body is your own lawyer's language - Autoflow supplies the generation, data-fill, sending, and signature machinery around it. No per-signature fees, no DocuSign subscription.
Fleet & Vehicles
Type a VIN, get a complete car - onboarded in minutes, priced and split per vehicle.
Enter the 17-character VIN and tap Fill Details: make, model, year, type, color, and specs decode automatically, and an AI description drafts itself with edit and regenerate controls.
Details, pricing, and mileage get a car live; ownership and insurance are optional steps for cars that run on a deal. Edit Vehicle is the same form, pre-filled.
Idle, Reserved, Upcoming, Ongoing, and Overdue derive from bookings automatically - Under Repair is the one manual state. The fleet list never needs reconciling.
Hourly to monthly rates, deposit default, tax rate, per-period mileage allowances, overage rate, and fuel charge rate (per quarter-tank) live on the car and feed every booking it takes - pre-filled, and adjustable per deal.
Owner, Company, and 3rd Party percentages - totaling 100 - captured per vehicle, powering per-party analytics and owner reports for cars you don't own.
Up to 10 photos, plate and odometer, doors-to-cylinders specs, registration, financing terms, and insurance and warranty records - the whole car lives in one structured record.
Retire a car and billing stops - $20 per active car per month, prorated daily - while its booking history stays intact for taxes, claims, and disputes.
Renter-Facing
Storefront
Direct bookings on your own website and hosted links - something roughly 99% of rental companies can't do.
One script snippet renders your live fleet on your own website - browsable, filterable, reservable. Add a car in Autoflow and it appears; zero site maintenance.
Hosted pages for the whole fleet or a single car. Share the Fleet Link in a bio or email signature; send a Vehicle Link in the DM where intent is already specific.
The renter picks the car, picks dates from live availability, enters their details, uploads license and insurance, adds extra drivers, and submits. Your data entry, done by them.
No money moves in the renter flow, by design. You review, verify, and confirm before anything is reserved or charged - a structural dispute-prevention choice.
Widget theme, brand accent color, company name, and language set in the embed code; your logo and contact info across the hosted pages and checkout.
A mobile-first rebuild of the renter flow is in design now. Date-first browsing, automatic declines of overlapped requests, and full white-label branding ship with it - properly, rather than half-done today.
Analytics & Reports
Revenue intelligence at three altitudes - dashboard, fleet, and per-car - with splits an investor can open as a link.
Recent bookings, monthly volume, revenue vs last month, out-of-order count, and your best day ever - one screen of signals with one-click routes deeper.
A per-vehicle metrics table, year-over-year comparison chart, utilization gauge, and a Needs Help flag on any car at 5 booking days or fewer in the period.
Days rented, utilization, annualized ROI against purchase price, average daily rate, top clients, miles driven vs allowance, revenue by source - even deposits kept - and a ranking against the rest of your fleet.
Total, Owner, Company, or 3rd Party - one control recalculates every number on the page as that party's share of the vehicle.
Send an investor a live, read-only link showing exactly their split - no Autoflow login needed. PNG and PDF exports included.
Real-time data with refresh on demand. This is revenue intelligence, not P&L - expenses aren't tracked yet, and we won't pretend otherwise.
Customers & the
Global Blacklist
A full record for every renter - and an industry-first blacklist that protects the whole network.
Contact, documents, verification history, total trips, and total revenue on every renter - created automatically from bookings or added by hand.
Click a name and a modal shows trips, revenue, and recent bookings. Know in ten seconds whether this is your best customer or a first-timer worth verifying.
Every check logs to the profile's Verification History and caches - so you never pay to re-screen someone you've already checked.
Flag a bad actor once - with structured reasons like damage, theft, fraud, or chargebacks - and every operator on Autoflow gets warned before handing them keys. Matched primarily by driver's license number; you can even flag someone who's never rented from you.
Blacklist matches surface before you confirm; the decision stays yours. You can remove your own entries, never another operator's - so the system can't be gamed.
Delete is housekeeping: it removes the record from your account. Blacklist is protection: it warns the entire network. Bad actors get blacklisted, not deleted.
Team & Permissions
Hand off the work without handing over the bank account.
Owner/Admin sees everything. Manager runs the day-to-day - bookings, vehicles, customers, contracts - but can't touch payments, billing, integrations, or team settings. Staff works the operational core.
The full nine-module permissions grid is visible in the product before you invite anyone - audit exactly what a role grants, then send the invite.
Restrictions are real, not cosmetic: a staff account can't reach blocked features by hitting endpoints directly.
Activity Logs stamp who confirmed, who edited, who refunded - and the history survives offboarding.
Invite by email with a role; each teammate sets their own password. Revoke access and they're logged out immediately, with their action history intact.
Localization
Your market's money, units, and time - one setting, applied everywhere.
Set your Operating Country in Settings and currency, distance unit, and timezone defaults flow from it - across the dashboard, bookings, renter pages, emails, invoices, and exports.
EUR fleets see €, not $: pricing, deposits, holds, refunds, analytics, receipts - even your Autoflow subscription bills in your currency. Each booking keeps the currency it was made in, forever.
Distances render in your unit - mileage allowances, overage rates, odometer reads. Defaults follow your country (the UK keeps miles), and you can override it.
Booking times render in the vehicle's local time with the timezone labeled - for you and the renter. Confirmations add a "= your local time" line when the renter's timezone is known.
ID verification works everywhere. The US-only checks - insurance verification and background checks - show a clean "coming to your country" state outside the US instead of a dead end.
Your fleet runs in one currency and your processor handles any conversion at its own rates - Autoflow never converts money or adds a spread.
Settings & Admin
Seven tabs, configured once - and a billing page with the cancel button in plain sight.
Personal and company profiles, the logo renters see on every surface, operating country, and the time zone that drives your calendar.
$20 per active vehicle per month, prorated daily, minus 15% billed yearly - with a vehicle slider that previews your total and a visible Cancel Subscription button.
Seven booking event types by two channels - fourteen switches, all on by default, trimmed to exactly the pings you want.
Every account starts with a free week. No credit card required, no retention maze at the end.
An in-app ticket thread with screenshots, answered directly by the team - at this stage, often the founder.
Operator questions,
answered straight
No. Payment, contract, check-out, and hand-off are modular steps: take payment weeks early or fold it into check-out, sign the contract before or after the money. The booking's status always reflects what's actually been done and auto-promotes to Ready when the required steps complete.
No. Every request lands as Pending and requires your confirmation - there's no auto-approve, by design. You review the documents, run verification, and decide before anything is reserved or charged.
No. Renters pay directly into your own Stripe or PayPal account, and you pay only your processor's standard fees, to them. Autoflow adds no transaction fee.
The Return flow tallies over-mileage, missing fuel, damage, overdue hours, and other charges, then refunds or releases the deposit minus deductions. Card holds capture exactly what's owed and release the rest; if charges exceed the deposit, Autoflow generates a payment request for the difference.
Yes. Set your operating country and the whole platform runs in your currency, distance unit, and timezones - including your subscription bill. ID verification works in every market; insurance verification and background checks are US-only today and show a clean "coming to your country" state elsewhere.
8 credits: ID (1) plus background check (2) plus insurance (5). Returning renters cost nothing - results cache on their profile. Credit plans start at $49/mo for 30 credits, and top-up packs never expire.
Open the car's Vehicle Analytics, set the split selector to Owner Split, and copy the shareable link - a live, read-only report they open with no Autoflow account - or download it as a PDF or PNG. They see exactly their share and nothing else.
